Look for a way to automate the registration of deposits in bank accounts: from receipt by the customer to registration in SAP. This way, we can apply a debt per credit and carry out prepayment balances. This will radically optimize the efficiency of this channel in a secure way.
CONTEXT OF THE PROBLEM
Currently, PETROPERU has banking interconnection with BCP, BBVA, SCOTIABANK, INTERBANK, BANCO DE LA NACION and BANBIF. However, the collection of credit payments and advance payments from customers is also received through deposits in the company's bank accounts. For this purpose, we have established a process for the reception of vouchers, the verification of bank deposits and the subsequent registration in the treasury modules of ERP SAP. This registration process is carried out 100% by the help of the collection supervisors. 53% of collections are made via bank interconnection and 47% by direct collection.
DESCRIPTION OF THE PROBLEM
FREQUENCY OF THE PROBLEM
This problem is recurrent, as there are advance payments (on average 90 interactions per day) and credit payments (on average 135 interactions per day).
PARTIAL SOLUTIONS
The process is done through manual collaboration. However, today it is partially carried out by technological solutions. For example, Microsoft Outlook is used to receive and store the vouchers sent from customers. Also, we verify this information on the banks' websites. We check the registration of all transactions in SAP and we consult the customers' balances via a Web application.
IMPACT OF THE PROBLEM
This problem generates the following problems: (i) increased operational workload and risks for the Treasury area, (ii) customer discomfort when their registration is not attended in a timely manner which will affect our sales, (iii) loss of control since our mechanisms would not be integrated, (iv) high dependence on human intervention which would limit the customer service channel and the company's cash registry.
QUANTIFICATION OF THE PROBLEM
Collection via bank deposits for credit and advanced payments currently represents 47% of total client payments (as of June 2022). Currently, 04 people are assigned almost 100% to this task.
